Overview

Do you have a strong background in office assistance and have some Human Resources experience? As the Administrative Office Coordinator, you are primarily responsible for assisting the Human Resources department and the Executive team. Tasks and projects can vary as well as your day to day responsibilities. Attention to detail, knowledge and understanding of confidentiality and proper handling of sensitive information is a must in this position.

Responsibilities

  • Assist in the tracking and maintenance of information databases for HR/Payroll reports, licenses/certifications, recruitments, documents, forms, directory, etc.
  • Assist in processing of payroll/personnel transactions: new hire, promotions, change in status, direct deposits, address changes, wage increases, terminations, etc.
  • Monitors the HR email inbox and responds/forwards emails accordingly
  • Assists in reorganization and ongoing maintenance of employee personnel files and HR/Payroll documents: set-up, filing, termination archiving
  • Assist with recruitment activities of employment for advertising, screening, scheduling, phone interviewing and verifications of references.
  • Assist in internal audits of all HR responsibilities to ensure compliance with Agency policies and procedures, federal and state law, regulations, administrative codes, statues, etc.
  • Assist in document preparation and maintenance for new hire, employee handbook and benefit packets
  • Sorting and distributing of incoming and outgoing mail, including from the Administrative fax and copy machine 
  • Oversee the print ordering: business cards, envelopes, forms, etc.
  • Oversee the responsibilities for travel: hotel reservations, airfare, car rentals, etc.
  • Assist with Agency events and meetings: scheduling, set-up, ordering and stocking of office supplies and conference rooms, ordering meals as needed, and any related administrative needs for events or meetings
  • Assist with recruitment activities of employment such as scheduling, verifications of references, performing background checks and updating hiring managers on status of pre-employment checks.
  • Assist Upper Management staff with various projects/tasks
  • Collect, scan and shred documents
  • Other duties as assigned

QUALIFICATIONS

  1. Minimum Associates degree; Bachelor Degree Preferred
  2. 1-2 years of experience in Human Resources preferred
  3. 2-3 years of the experience in an Administrative/Clerical role strongly preferred
  4. Must have excellent customer service skills
  5. Well-developed organizational and time management skills with the ability to multi-task and prioritize effectively in adherence to policies and procedures.
  6. Must have excellent writing skills
  7. Strong attention to detail skills
  8. Must have the ability to maintain confidential information and working knowledge of employment law.
  9. Must be well versed in Microsoft Office Application including Word, Excel, Outlook and Power-Point.
  10. Must pass Urinalysis drug test and Criminal background check
  11. Must be able to obtain a Level 1 Fingerprint Clearance Card
  12. Must be eligible to work in the U.S. for any employer

 

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

  • Must be able to lift 10 lbs frequently, and 20 lbs occasionally.
  • Must be able to read, write, and communicate fluently in English.
  • Must be able to give and receive verbal and written instructions.
  • Must possess the ability to utilize visual and auditory senses to complete all job duties as assigned.
  • Must be able to work in a typical office and health-care environment.
