Overview

Under the direct supervision of a TASC Diversion Program Manager, is responsible for maintaining the flow of information and providing administrative support for the Diversion program. Answers telephone inquiries, assembles client files and tracks program paperwork. Enters information into database and maintains client records. Prepares and distributes statistical reports and information packets. Assists supervisor as needed.

Responsibilities

  1. Responsible for tracking/organizing referrals, program paperwork and files
  2. Answers telephone and responds to voice mail messages, sets and logs appointments for intake
  3. Screens client eligibility from available information
  4. Assists with out-of-state referral packets
  5. Assists with intake/orientation processing including call backs for missed appointments
  6. Maintains, tracks, updates client files
  7. Sends option letters and program violation letters to County Attorney
  8. Types, copies and files County Attorney’s Office submittals
  9. Creates regular payment collection lists, monitors payments and assists staff with payment letters as needed
  10. Inputs client data
  11. Gathers program data, enters data, prepares and disseminates statistical reports
  12. Checks UA results for clients
  13. Other duties as assigned

  2. One year experience in a job position requiring performance of similar job tasks
  3. Must know basic office procedures and equipment operations, e.g., answering telephone, taking messages, photocopying, filing, etc.
  4. Must be able to clearly communicate and effectively deal with uncooperative people in a professional manner
  5. Must have legible writing and be able to follow detailed procedures
  6. Must be able to operate standard office equipment with minimal instruction and basic level of functioning
  7. Must be able to read and write at a high school graduate or higher level
  8. Ability to maintain standards to protect confidential information
  9. Must be able to type at a minimum of 50 wpm
  10. Proficient in MS Word and Excel
  11. Must pass urinalysis testing
  12. Must pass criminal background check and be able to obtain a Level One Fingerprint Clearance
  13. Must be authorized to work for any employer in the U.S.

 

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

  • Must be able to lift from floor to waist up to 20 pounds.
  • Must be able to read, write, and communicate fluently in English.
  • Must be able to give and receive verbal and written instructions.
  • Must possess the ability to utilize visual and auditory senses to complete all job duties as assigned.
  • Must be able to work in a typical office and healthcare environment.
