  • Overview

    The Office Coordinator will work in conjunction with the Clinical Services Office Manager and/or Case Manager, and Clinical Services Director, in order to coordinate the activities of the Clinical Services Staff. The Office Coordinator will answer phones, schedule client and counselor appointments, and accept client payments. The Office Coordinator is often the first point of contact with new and prospective clients and the agency, and as such must have excellent customer services skills and must remain professional at all times.

     

    **Please note that this position is Tuesday-Saturday.

    Responsibilities

    • Maintains calendars, counselor availability.
    • Schedule clients for group and individual counseling.
    • Notify clinicians of their respective schedules.
    • Set up new clients and input referrals for services.
    • Enter services ordered and generate group rosters.
    • Collect attendance reports for clinicians.
    • Enter completed services.
    • Collect treatment reports as required for billing.
    • Maintain computer records to provide:
    • Clinician productivity reports;
    • Group Attendance summaries;
    • Periodic statistical reports.
    • Set up new files and keep filing current, etc.
    • Ensure that Clinicians submit required documentation for client charts, in a timely manner.
    • Answer phones (making appointments, directing calls to Clinicians).
    • Works with referral sources to coordinate client services, as necessary.
    • Collect payments from clients for services.
    • Reconciliation of payments received and services rendered.
    • Performs any other duties, as assigned by Office Manager, Clinical Services Director, and/or Chief Executive Officer.

    3. Must be able to obtain a Level 1 Fingerprint Clearance Card.
    4. Must pass initial urinalysis drug screen.

    6. Minimum 2 years experience working in a professional office setting.
    7. Must demonstrate Computer Literacy (MS Word, Excel, etc.).
    8. Must possess good verbal and written communications skill.
    9. Must be able to lift from floor to waist up to 20 pounds.
    10. Must be able to read, write, and communicate fluently in English.
    11. Must be able to give and receive verbal and written instructions.
    12. Must possess the ability to utilize visual and auditory senses to complete all job duties as assigned.
    13. Must be able to work in a typical office and healthcare environment.
